January
- Early January: U.S. coordinators confirm arrival and address of incoming international students in accordance with SEVIS requirements
- ISEP prepares IISs, country handbooks, and participant handbooks
February
- February 1: Priority application deadline for U.S. participants for placements in next academic year. Review of applications from U.S. participants begins; competitive sites fill
- Extension requests due for best consideration
- February 15: Priority application deadline for International and Multilateral participants for placement in next academic year
- Late February: International coordinators receive U.S. participants' HIPCs
March
- Mid-March: U.S. coordinators receive international participants' HIPCs
- International coordinators receive multilateral HIPCs
- Late March: U.S. participants' HIPCs are due
from international coordinators
• As participants are confirmed, PPAF e-mail notifications go out - Placements continue to be made as long as space is available and sufficient time remains for participants to arrange visas and flights (Consult Available Sites list)
April
- April 1: Academic Training requests due (academic year and spring semester participants)
- Early April: International participants' HIPCs are due from
U.S. coordinators
• As participants are confirmed, PPAF e-mail notifications go out - Late April: Update of institutional description for Membership Directory requested
- Placements continue to be made as long as space is available and sufficient time remains for participants to arrange visas and flights (Consult Available Sites list)

- Early May: DS-2019s are generated and mailed
- Placement follow-up activity continues
- Mid-May: Institutional Description updates for Membership Directory due
- Prepare for NAFSA Conference
- Call for nominations for ISEP Ambassador of the Year and future Ambassadors
June/July
- Directory and brochures prepared and updated for August publications mailing
- After conclusion of program, host institutions issue and send transcripts to ISEP Central
- Coordinators ask students to submit Program Evaluations to ISEP
- Student Photo-Essay Contest begins
- New ISEP Ambassadors invited
August
- Annual Publications Mailing (Participant Handbooks, brochures, posters, and Ambassador materials)
- Balance summary confirmations sent to members
- Souther Hemisphere IIS updates requested
